1. Introduction & Operational Scope
The Vathuvai Events ("we", "our", "us") operates Tamil Nadu's 1st Assembly Constituency-Mapped Wedding & Event Directory together with our Direct Farm-to-Venue Produce Marketplace. We are dedicated to maintaining the highest security, confidentiality, and data protection standards in compliance with the Digital Personal Data Protection Act (DPDP), the Information Technology Act of India, and applicable statutory guidelines.
This Privacy Policy applies to all individuals and entities interacting with our platform, including:
Public Visitors & Event Planners: Individuals browsing wedding services or farm produce to connect directly with service providers.
Wedding & Event Service Vendors: Mandapams, caterers, photographers, decorators, makeup artists, and associated event professionals.
Internal Field Agents & Operations Staff: Field agents, area staff, district managers, regional managers, and general managers operating our territory network.
Statutory Auditors & Regulatory Authorities: Authorized personnel reviewing fiscal and tax invoice records.
2. Information We Collect
We collect information that is strictly necessary to deliver transparent discovery, secure direct connections, official invoicing, and operational management.
A. Public Visitors & Event Hosts
Direct inquiry submissions (Full name, phone number, WhatsApp contact).
The Vathuvai Events maintains an unambiguous, transparent pricing structure. All payments are strictly processed via Razorpay's PCI-DSS Level 1 compliant gateway.
One-time onboarding fee: ₹99. Includes 1 Full Year (365 Days) Extended Free Trial of active digital storefront listing.
Subsequent Renewal: Subsidized rate of ₹99 per 6 months from year 2 onwards.
Zero Storage of Card / Bank Credentials: We never record, store, or transmit your credit/debit card numbers, CVVs, net banking credentials, or UPI PINs. We retain only order identifiers, Razorpay transaction references, and timestamped GST Tax Invoices generated under SAC code 998365.
4. Internal Operations Team & Field Agent Data Protection
We employ dedicated safeguards governing internal team records (Field Agents, Area Staff, District Managers, Regional Managers, and General Managers):
Role-Based Access Control (RBAC): Access to sensitive vendor data, farmer documentation, and commission ledgers is strictly segmented according to employee and agent authority levels.
Confidentiality Obligations: Field agents and staff are bound by non-disclosure rules. They are strictly prohibited from exporting, copying, distributing, or utilizing vendor, farmer, or consumer contact numbers outside of official verification and onboarding duties.
Financial Settlement Data: Banking and UPI details supplied by field agents are used exclusively for legitimate commission disbursements (calculated on progressive slab rates from ₹20 to ₹49 per verified onboarding) through multi-level managerial authorization.
Credential Revocation: In the event of agent resignation, reassignment, or contract termination, internal portal access is revoked immediately, and linked digital ID cards/QR credentials are deactivated.
5. How We Use Collected Information
We process collected data exclusively for the following legitimate business purposes:
Enabling direct event host connections to vendors and farmers with 0% booking commission.
Displaying verified vendor and farmer business storefronts filtered by assembly constituency and district.
Routing inquiries directly to vendor and farmer phone and WhatsApp channels.
Generating compliant 18% GST Tax Invoices and maintaining statutory records under Indian tax legislation.
Verifying agent and staff onboarding performance, validating targets, and processing bank/UPI disbursements.
Preventing fraudulent listings, unauthorized access, and automated abuse.
6. Data Sharing & Third-Party Disclosure
We do NOT sell, rent, monetize, or trade personal, vendor, farmer, or staff data to marketing agencies or third parties.
Information is disclosed strictly under the following operational necessities:
Designated Vendor / Farmer: When an event host initiates an inquiry, contact information is transferred directly to that selected service provider or farmer to facilitate customer service.
Certified Payment Gateways: Order amounts and payment tokens are shared securely with Razorpay to process payments.
Enterprise Cloud Hosting: Encrypted databases and media storage are hosted on Google Cloud Platform (us-central1 / regional datacenters) under strict IAM protection.
Statutory & Legal Authorities: Disclosed only when mandated by valid court orders, statutory tax audits, or law enforcement requests under Indian jurisdiction.
7. Account Deletion & Data Retention Rights
In alignment with the Digital Personal Data Protection Act, vendors, farmers, agents, and users hold the right to request access, correction, or permanent deletion of their account records:
Account Deletion Request: Any vendor or farmer may request complete account deletion by contacting support via email or through their dashboard.
Purge Policy: Upon verified deletion, all public directory profiles, catalog images, media portfolios, and direct contact details are permanently expunged from our active production databases.
Statutory Tax Retention: Generated GST Tax Invoices and transactional billing records are retained in an immutable state solely for the statutory period mandated by the GST Act and the Income Tax Department of India.
